Data deletion
You can ask Unit Foundation to delete the information you sent us. This page explains how to ask, what we delete, what we may have to keep, and how long it takes.
How to ask
Send one email to admin@ctrunit.org with the subject line Data deletion request, and include:
- The name of the organisation that applied.
- The email address used on the application, so we can find it.
- Roughly when you applied, if you remember. It helps us locate the right record.
Send it from the email address on the application if you can. If you cannot, we may ask you one or two questions to confirm you are entitled to make the request. We are not going to delete an organisation's records because an unverified stranger asked us to.
What we delete
- The application email and every copy of it in our mailbox, including the confirmation we sent you.
- The registration certificate you uploaded, which exists only as an attachment to that email.
- Any follow-up correspondence about the application.
Because this website has no database, deleting the email deletes the application. There is no second copy sitting in storage somewhere.
What we may keep, and why
If your organisation holds or has held a grant, we keep a minimal record of the decision (organisation name, date and outcome) for as long as the grant runs plus two years. A grant programme that cannot say who it funded and why is not accountable to anyone. This record contains no certificate and no personal contact details.
We may also keep information where the law requires it, or where we need it to establish or defend a legal claim. If that applies to your request we will tell you exactly what we are keeping and why.
If you hold a grant
Deleting your application does not close your Unit workspace, and closing your workspace does not delete your application. They are separate systems. To remove the content inside the platform itself, follow the Unit process at ctrunit.com/data-deletion, or ask us and we will do both for you in one go.
If you want a copy of your content before it goes, ask for it in the same email and we will provide it first.
How long it takes
We acknowledge requests within five working days and complete them within 30 days. When it is done we email you to confirm exactly what was deleted and anything that was retained. Backups held by our email provider are overwritten on their own cycle, which may take up to a further 90 days. Nothing is restored from them into use.
If you are not satisfied
Reply to our confirmation and tell us why, and we will look at it again. You may also complain to the Data Protection Commission of Ghana or to the data protection authority in your own country.
